ConectaFleet — Dispatcher User Guide

Dispatchers keep drivers, vehicles, assignments, portal uploads, and live tracking organized. Your dashboard is limited compared with owners and admins: you do not run settlements, team invites, billing, or full report exports.

What you can access

AreaDispatcher

Ask an owner or admin when you need settlements, team changes, or report exports.


Getting started

  1. Sign in at ConectaFleet.
  2. Open Overview and scan alerts for your operation.
  3. Confirm drivers and vehicles look correct.
  4. Ask an owner/admin to add missing records or fix your role if a menu is missing.

Language (EN/ES) and theme (light/dark) are in the dashboard header.


Daily checks

Start with:

  • Pending driver uploads (follow up with office if review is needed)
  • Missing or expiring documents on units and drivers
  • Active driver / vehicle status
  • Tracking status when the company uses GPS

Use Overview search and filters (driver, vehicle, document type, dates, status) to focus on one unit or person.


Drivers, workforce, and vehicles

Drivers / Workforce

  • Name, login email, CDL and medical dates
  • Assigned truck or trailer
  • Active vs inactive

Portal features only work when the driver’s login email matches their profile.

Vehicles

  • Unit number, VIN, plate
  • Registration, inspection, and insurance dates
  • Unit paperwork

Keep dates current so compliance alerts stay useful for the safety team.


Driver portal uploads

Drivers submit PODs, receipts, load confirmations, and trip docs from /portal.

Your workflow:

  1. Spot new uploads from Overview or notifications.
  2. Confirm document type, driver, and load/trip reference.
  3. If the file is unclear, ask the driver to resubmit from My files / Upload.
  4. Final approve / reject is done by owner, admin, or accounting workflows that have settlement permissions — escalate when needed.

Live tracking

Path: /tracking

See drivers who turned on Share my location in the portal. Tracking needs:

  • Linked driver profile (matching email)
  • Browser location permission on the driver’s device
  • Tracking toggle on in the portal

Geofence create/edit is typically owner/admin. You still benefit from map visibility for active drivers.


Settings and notifications

  • Change your password and compliance notification preferences (SMS / in-app) under Settings.
  • Company profile, account type, team, and billing stay with owner/admin.
  • The bell shows uploads, document issues, and related alerts. Mark items read when handled.

Troubleshooting

Driver missing from tracking: check profile email, portal login, location permission, and tracking toggle.

Wrong vehicle assignment: update Drivers or Workforce before dispatching.

Upload missing: ask the driver to check /portal/uploads and resubmit.

Need settlements or reports: contact owner, admin, or accounting.
